SAFE Work Certified auditorsA SAFE Work Certified auditor is a recognized and trained individual, external to the organization being certified, who is qualified to assess an employer’s safety and health management system. Auditors are accredited and approved to conduct SAFE Work Certified audits on behalf of certifying partners.Organizations will undergo an annual audit as part of the SAFE Work Certified process. The initial certification audit and the re-certification audit every three years must be conducted by a SAFE Work Certified auditor.In years two and three of the SAFE Work Certified program, organizations will also conduct maintenance audits. If an organization does not have a trained maintenance auditor, they can engage a SAFE Work Certified auditor to conduct maintenance audits.SAFE Work Certified auditors become accredited by: aligning with a certifying partner completing the certifying partner’s industry maintenance (internal) auditor training. completing the Manitoba Advanced Safety and Health Auditor Training (MASHAT) signing the auditor code of ethics and standards of conduct conducting a SAFE Work Certified audit To maintain your SAFE Work Certified auditor status, individuals must meet SAFE Work Manitoba’s forum attendance requirements, conduct a minimum of one SAFE Work Certified audit each year and not conduct subsequent SAFE Work Certified audits for the same employer.Conducting a SAFE Work Certified audit The following is the process to conduct a SAFE Work Certified audit: Prepare for the auditReceive an audit requisition, along with the audit application from the certifying partner confirming the scope of the audit. Arrange the SAFE Work Certified audit with the employer within one business day of receiving the Audit Requisition and Audit Application. Send an audit confirmation letter to the employer within two business days of arranging the audit. Facilitate a pre-audit meeting with the employer to discuss the audit scope, processes, required resources, roles, responsibilities, privacy considerations and the auditor code of ethics and standards of conduct. A representative of the employer and the workplace safety and health committee worker co-chair or worker representative (or designate) must be involved in the pre-audit meeting. Conduct the auditConduct the audit using the SAFE Work Manitoba-approved audit tool provided by the certifying partner. Upon completion of the audit, prepare a draft audit report. The report must include an executive summary describing the audit scope, the audit process and program strengths, weaknesses and opportunities for improvement. The body of the report must include a detailed description of findings, recommendations, scoring and a commentary on the organization’s safety culture. Communicate with the certifying partnerEmail the preliminary audit file to the certifying partner within five business days of completing the audit. Receive recommendations and/or approval from the certifying partner after they complete their quality assurance review on the audit. Arrange and conduct the close-out meetingArrange the close-out meeting with the employer once the certifying partner gives approval (refer to the applicable auditor handbook for more information). Conduct the close-out meeting with the employer and review the executive summary report. A representative of the employer and the workplace safety and health committee worker co-chair or worker representative (or designate) must be involved in the close-out meeting. Explain the need for the electronic signature of the workplace safety and health committee worker co-chair or worker representative (or designate) on the bottom portion of the executive summary tab of the audit tool. Providing an electronic signature does not imply agreement with the content of the report, but instead is a verification that the content has been reviewed and that the audit scope and the audit processes were followed during the conduct of the audit.Ensure the employer knows how to complete the executive summary report acknowledgment and advise the employer that they are required to email it to SAFE Work Manitoba and the certifying partner.Contact the certifying partner you are working with for the industry-specific forms.Related links
