The Online Incident Reporting System is a secure Internet application providing you with immediate access to WCB Incident Report forms, 24 hours a day, seven days a week. These forms are completely electronic, easy to use and "smart" - as you fill out your information onscreen, your form changes according to your answers to make it even simpler!

The Online Incident Reporting System also alerts you to incidents in your workplace you might not otherwise be aware of. When the WCB hears about an incident from an injured worker or their healthcare provider, we begin an incident report for you. At the same time, we e-mail you about the incident, allowing you to monitor the situation so you can fill out the rest of the form yourself and ensure the accuracy of the information.

Only completed forms can be submitted to make processing faster without follow-up phone calls. If you don't have all the information you need, just save your form until you do.

System Requirements

Before you register, you may want to check with your System Administrator to make sure your system is compatible with the Online Incident Reporting System. Your system needs to include:

  • Microsoft Internet Explorer 8.0
  • JavaScript enabled on your web browser
  • Cookies enabled on your web browser*
  • A valid Internet account
  • Minimum 800 x 600 display resolution (though 1024 x 768 display resolution is recommended).

* The Online Reporting System only uses session cookies. No application information is stored on your hard drive without your consent.

How To Register

Once you have checked on your system requirements, you need to register your system users because only registered users can access the Online Incident Reporting System.

For security purposes, you should be the only person from your organization in charge of registering all your system users, becoming the official System Security Administrator. Then, when you phone the WCB Technical Support Team to register your users, you will be asked to confirm their authorization to view all WCB claim information for your organization. You will also need to provide the following information:

  • The WCB Account Number
  • The WCB Industry Code and corresponding WCB Rate
  • The last reported annual estimated payroll
  • The e-mail address for the Incident Report contact in each firm (used to notify you in case a claim that involves your organization is initiated by another party)
  • A challenge-response phrase (for more on this, please refer to Information Security)

This information is required to confirm that you are indeed an authorized staff person from your organization, and to make the registration process proceed more smoothly. The required WCB Account Number, Industry Code and corresponding WCB Rate can be found on:

  • Your Account Statement
  • Annual Payroll Form
  • Rate Letter

To register, phone the WCB Technical Support Team at 204-954-4573 in Winnipeg or toll free in Canada at 1-855-954-4321, ext. 4573. A WCB Technical Support Team member will help you register all of the users for your organization.

Once you are registered, a WCB Technical Support Team member will phone back with individual User IDs and passwords for each of the users.

Information Security

The security of your information is of the utmost importance. Security precautions are taken right from the time you are registering to ensure complete confidentiality. The entire Online Incident Reporting System resides on a WCB-Manitoba server. Only employers who are registered to use the system and have an assigned User ID have access to the system - and only to their own individual files. In addition, only authorized users - as specified by you - can view your organization's reports.

For further security, the WCB Technical Support Team will develop a challenge-response mechanism when you register. This way, if you should ever forget your password or need to confirm your authorization, you will be able to use a unique phrase to identify yourself. It's another way the WCB helps keep your information confidential - and your access secure.
